Taking a Listing Appointment

Put yourself in the seller’s shoes, imagine you are the seller. Now you as the listng agent, here are the steps you can do for taking a listing appointment.

  • Start by going over your list of leads and call to book an appointment with the owner of the house.
    • Next, go on Slack to add the information and notes about the client. This everyone’s job for now. Add notes and say something like “Hey, I’ll take this one!” Once confirmed, it will be removed from the list in the channel for you to keep.
    • Add it all now to Hubspot and include all the notes like the life cycle. Be sure to include the source of the lead so with time, you can get statistics on which strategies are working best for you.
    • While still in Hubspot, set up a Task to call back and follow up for the next time.
  • Now that you are taking a listing appoinment completed. On a seperate tab, get the address, copy it and look for it on HAR.
    • Enter Matrix MLS (stop here) (keep it open).
      • Go back to HAR on a seperate tab, look up the address, and go down to see the Tax history (KEY info here).
    • Go to CloudCMA (only for platinum agents)(if not use regular HAR’s CMA).
      • See 10 most similar houses.
    • Go to HAR and look up zip code, then bedrooms, click map search.
    • Go to Customize in the Area Report. Delete the list so the presentation so that it doesn’t have too may pages.
      • Preview the presentation, save, and compare. Analyze it well and prepare some key points.
    • Take this with you when you are taking the listing appointment.
  • Example: From Original Price, use the average, in this example is $336,500.
    • List it for lower $332,000 as a suggestion and negotiate it to $320,000
    • Analyze the data and go over it before going to the client. It is information for them.
  • Get clients’ email prior to going to the house. Email ahead to stand out by sending an article, “Preparing Your Home to Sell.”
  • Go to TAR, Zip forms, search for Residential Exclusive Right to Sell Agreement! (come back here and get the right name and link for it).
  • Start a new form and fill it out. Save it. Go to MLS if it doesn’t have the lot or block info. Some of it will be pre filled for you. Use the info from MLS to fill it out.
    • Find it and see EVERYTHING about the property before meeting your client. Put the block and lot info in the form.
  •  See video for full steps over the contract paragraphs and what to put and meanings.
    • For example, in the application it says you will use “Centralized Showing Services with the phone number”***** and nothing else! Do not say Zillow or anything else.
  •  Put “intermediary status” (so buyer knows seller is shopping round) and be careful and make sure it has all it requires. Print it out.
  • In All Forms in TAR, add the Sellers Disclosure.
    • Include Addendum for HOA, leave the number at Zero and then fill it out in the appointment. If yes, they need to sign them.
  •  Send it to City Insight Houston and we’ll take care of it from there.
